The REST API and webhooks are included in every licence: on Basic, ERP integration goes through the API; the AI agent is available from Business. Models, storage and the annual credit quantity for the Business and Enterprise licences are defined in the quote, based on your documents and volumes; payment for credits is agreed with you.

Mail service
The Mail service is installed at your premises (on-premise): emails, which are sensitive data, and mailbox credentials stay within your perimeter, not on Data Alchemy's cloud servers. It handles multiple business mailboxes, is configured through a graphical interface and sends to Data Alchemy only the emails matching a model (invoices, orders, delivery notes).

During the scan, Data Alchemy queries external services to verify the data read by the AI. When it reads a delivery note that references a purchase order, it queries your ERP (through the AI agent or via API), retrieves the order and checks item code, quantity and the other fields line by line: the data read by the AI is consistent with your management system.

Remote validation connects a third-party source, such as your ERP, to check item codes and retrieve the customer code from the company name or VAT number. Extracted data reaches your management system already aligned with your master data.

The AI agent is installed at your premises, connects to Data Alchemy over websocket and APIs and posts the extracted data into your software, including orders with header and lines, on the destination configured from a graphical interface: a database, CSV, JSON or TXT files, or APIs. Your ERP credentials stay in the agent, at your premises. With the agent, integration takes 2–5 working days without custom integrations. It is included in the Enterprise licence and available as a separately quoted add-on with the Business licence. It is not available on Basic, and therefore not in the Demo either, which is its free trial.

How pay-as-you-go credits work
The licence defines what you can do with Data Alchemy: how many document models, how much storage, which verification and integration features. Document processing, on the other hand, is paid with credits, which are used up as documents are processed. How you buy them depends on the licence.
There is a single consumption rule: 1 credit = 1 document, whatever the number of pages. Data Alchemy's AI works with an extremely large context, so every document is read in full, whether it is a one-page invoice or a forty-page order. You don't need to work anything out per page or estimate the average length of your documents: you always know what you are using.
With the Basic licence, pay-as-you-go credits can be bought online whenever you need them.
With the Business and Enterprise licences, credits are bought in annual quantities, with annual expiry and payment terms agreed with you. The larger the quantity, the lower the unit price per credit. If you have unused credits at the end of the year, up to 20% carry over to the following year, provided you renew with an equal or higher volume. Quantities and terms are defined in the quote, together with the licence that best fits your processes.

A document uses one credit, whether it has one page or forty. No per-page counting: consumption is predictable and you read it straight from the number of documents processed.

Basic
You have a single document type to automate, for example supplier invoices, and want to get started without complications, buying credits online. ERP integration goes through the REST API, which is included.
Business
You handle several document models, receive documents by email and want AI-read data verified against your ERP before it is posted.
Enterprise
You work with Salesforce, receive orders you want in your CRM without rekeying them, and want the AI agent included in the licence.
What manual data entry costs you today

The AI agent is not included. You activate it by filling in the form on the Demo Area page; afterwards you choose whether to move to Basic, Business or Enterprise.
What are pay-as-you-go credits?
They are how document processing is paid for: the licence defines features, models and storage, while credits are used up as documents are processed, at a rate of 1 credit per document. On the Basic licence they are bought online. On Business and Enterprise they are bought in annual quantities, with annual expiry, payment terms agreed with you and lower unit prices depending on the quantity purchased.
Does a 40-page document use more credits?
No: 1 document = 1 credit, whatever the number of pages. Data Alchemy's AI works with an extremely large context and reads every document in full, so a one-page invoice and a forty-page order use the same credit. You don't need to work anything out per page: you always know what you are using.
Are unused credits lost at the end of the year?
On the Business and Enterprise licences, up to 20% of unused credits carry over to the following year if you renew with an equal or higher volume. The rest follow the annual expiry of credits. On the Basic licence, credits are bought online as you need them.
Why does the Basic licence delete documents after 7 days?
The Basic licence includes 500 MB of storage with a mandatory 7-day retention period: each document is deleted automatically 7 days after upload. As well as freeing up space, it is a data minimisation safeguard: uploaded documents do not stay on the platform for more than 7 days. If you need more storage or longer retention, the Business and Enterprise licences have storage sized to your needs and retention of up to 60 days.
How long are documents kept on the Business and Enterprise licences?
On Business and Enterprise, files can be kept for up to 60 days from the upload date. The retention period is configured for each document model, so you can set different periods for invoices, delivery notes or orders, always within 60 days.
What is the difference between the Basic and Business licences?
Basic includes 1 document model and 500 MB of storage, with a mandatory 7-day retention (documents deleted automatically 7 days after upload), and pay-as-you-go credits bought online; integration goes through the REST API, as the AI agent is not available. What are external fields and remote validation?
They are two features included from the Business licence up. With external fields, during the scan Data Alchemy queries external services to verify the data read by the AI: when it reads a delivery note referencing a purchase order, it retrieves the order from your ERP, through the AI agent or via API, and checks item code, quantity and other fields line by line. Remote validation connects a third-party source, such as your ERP, to check item codes and retrieve the customer code from the company name or VAT number.
Is the AI agent included in the licence?
The AI agent is included in the Enterprise licence. With the Business licence it is available as a separately quoted add-on. It is not available on the Basic licence, and therefore not in the Demo either, which is a trial Basic licence: on Basic, ERP integration goes through the REST API and webhooks, which are included.
Is the REST API included in the licence?
Yes. The REST API and signed webhooks are included in every licence: Basic, Business and Enterprise. On Basic they are how you integrate Data Alchemy into your ERP or your own software; from Business you can add the AI agent, which posts the data into your ERP without any development on your side.
What does the Enterprise licence add?
Everything in Business, with tailored models and storage, plus the native Salesforce integration, Order Dispatcher (orders read by the AI land as drafts in your CRM, already filled in and with the PDF attached) and the AI agent included.
