Sales order automation software: the comparison
Sales order automation software reads the customer orders that arrive by email, as PDFs or in Excel, recognises the customer, delivery location and products against your master data and creates the order in the ERP or CRM, leaving a person only to review it.

Orders retyped by hand: where the time goes
In most companies customer orders still arrive as email attachments, each in the format of the customer's own system. Reading them is the easy part: the real work is matching them against master data and entering them into the ERP without mistakes.
Formats that keep changing
PDFs generated by different systems, Excel sheets, handwritten forms, orders typed straight into the email body. Every new customer brings a new layout.
Who ordered, and where to deliver
Chains and groups have many stores under the same VAT number: you need to pick the right customer and check that the delivery address is a registered destination.
The product code is the customer's
The order carries the customer's code, an EAN or just a description. Without matching to your catalogue the extraction is correct, but the order still has to be rebuilt by hand.
Price lists and commercial terms
Price list, payment terms and sales agent should come from the customer's master data, not be copied from the document. An unchecked price only surfaces at invoicing.
Errors surface late
A wrong invoice is fixed in accounting; a wrong order becomes a wrong shipment. That is why it matters that the system flags what doesn't add up instead of guessing.
How to evaluate order entry automation software
These are the same criteria we use in the matrix. We recommend checking them with every vendor on a sample of your real orders.

How Data Alchemy handles sales orders
Data Alchemy reads orders with an AI engine dedicated to the document model, validates them against ERP master data and writes them into the target system. Here is what it does, with the licence in which each feature is available.
Order Dispatcher: the draft order in the CRM
Order Dispatcher turns the order read by the AI into a draft order in the CRM, already filled in and with the original PDF attached. It recognises the customer from VAT number, address and postcode (including several stores under the same VAT number), checks the delivery location, applies the price list, payment terms and sales agent from master data and matches products by code or EAN. When something doesn't add up, it explains what is missing and where. Included in the Enterprise licence.

Orders reach Salesforce through the official APIs, with server-to-server OAuth authentication. Header and lines are created in a single operation, each document has a SHA-256 fingerprint against duplicates, and test mode checks customer and product recognition without creating orders. Salesforce integration →External fields and remote validation
During extraction the data is checked against the ERP: on orders, remote validation verifies product codes and retrieves the customer code from the company name or VAT number. Available in the Business and Enterprise licences.

When Data Alchemy isn't the right fit
Data Alchemy is not the answer to every order-related need. In these cases another solution, or no document-reading software at all, is probably a better fit.
Orders already all in structured EDI or XML
If all your customers already send orders via EDI or XML, there is no document to read: the EDI integration of your ERP or EDI provider is enough, without an AI extraction layer in between.
A single suite for order-to-cash and accounts payable across many ERPs

How do you get orders received by email into Salesforce?
This page describes two routes. Salesforce Intelligent Document Reader uses Amazon Textract OCR on the customer's AWS account, with document type, template and field mapping to configure, and creates or updates records in the org. Data Alchemy, with Order Dispatcher and the native Salesforce integration (Enterprise licence), reads the order with AI and creates a draft order in Salesforce that is already filled in, with customer, location, commercial terms and products matched and the original PDF attached.

Where are the order mailboxes read?
It depends on the vendor. With Data Alchemy the Mail service is installed at your premises (Business and Enterprise licences): mailboxes and credentials stay in your infrastructure and only emails that match a model reach the platform. For the other vendors, the "Email handling" column of the matrix reports what the pages consulted state; where it is not given, it is worth asking during evaluation.
Does the software check customer, products and price list against the ERP?
This is the criterion that separates extraction from useful order entry. Esker, Conexiom and Dataskills state a check against ERP data or master data; for other vendors validation is not detailed on the pages consulted. Data Alchemy uses external fields and remote validation (Business and Enterprise licences) to verify product codes and retrieve the customer code; with Order Dispatcher it also applies the price list, payment terms and sales agent from master data.
How much does sales order automation software cost?

Does a multi-page order cost more?
With Data Alchemy, no: 1 credit corresponds to 1 document, whatever its number of pages. Other pricing models may use a different unit (page, volume, another product's licence): it is worth asking each vendor how a multi-page order is counted.
