Salesforce integration: orders from PDF to CRM, with no data entry

Do you receive PDF orders from shops, distributors and chains, and someone re-types them into Salesforce by hand? Data Alchemy reads the order with AI and brings it into your CRM already filled in, as a draft and with the original PDF attached: your team only has to review and confirm it. The native Salesforce integration is included in the Enterprise licence.

Context

Why connect Salesforce to an IDP engine

Salesforce is the CRM where sales teams follow customers and orders, yet orders keep arriving as PDFs, each in a different format. Someone has to open them one by one, work out who placed the order, pick the right store, look up the price list and payment terms, and copy codes and quantities, with the risk of typos.

Data Alchemy's native integration removes that work: the AI reads the order, Order Dispatcher recognises the customer and delivery location, applies commercial terms from master data, matches products to the catalogue and creates the order in Salesforce as a draft, with the original document attached. No order goes out without a person's confirmation.

This direct link between Data Alchemy and your system is what we mean by native integration: the full explanation, including the available connection methods, is on the dedicated page.

How it connects

What the Salesforce integration does, step by step

The Salesforce connection is native and runs through Salesforce's official APIs, with server-to-server OAuth authentication: the recognition and matching logic is that of Order Dispatcher, the module included in the Enterprise licence.

Official APIs and server-to-server OAuth

Data Alchemy talks to Salesforce through its official APIs, with server-to-server OAuth authentication. There are no connectors to build and no manual export and import steps.

Customer and location recognised

VAT number, address and postcode are used to find the customer in master data. For chains and groups with several stores under the same VAT number, the right location is chosen from the delivery address.

Commercial terms from master data

Price list, payment terms, agent, area manager and sales contact are taken straight from the customer's master data: nobody has to look them up.

Products matched by code or EAN

Each PDF line is matched to the catalogue item by product code or EAN code, using precise rules rather than guesswork.

Draft order with PDF attached

Header and lines are created in a single atomic operation: if something fails, no half-built order is left behind. The original PDF stays attached to the order, always available.

No accidental duplicates

Each document is identified by a SHA-256 hash, so a resubmission does not create unwanted duplicates. You choose whether to block resubmissions or create a new order on every upload.

Licence

Native Salesforce integration, included in the Enterprise licence

The native Salesforce integration is part of the Enterprise licence, together with Order Dispatcher and the AI agent. The Enterprise licence also includes everything in the Business licence, such as the Mail service, external fields and remote validation; models and storage are sized to your needs.

For licence details and a quote on request, see the pricing page or contact us to plan a call with a demo on your own documents: we check the flow together on your real orders.

Data flow

From PDF to Salesforce order in four steps

The document enters Data Alchemy, the AI reads it and the order comes out in Salesforce already filled in, ready for the sales rep to review.

01

Acquisition

The order arrives via email, upload or a monitored folder, or through the Mail service installed on your company's own mailbox.

02

AI extraction

An LLM dedicated to the document model extracts the order header and lines, with no templates or per-layout rules.

03

Recognition

Customer, delivery location, commercial terms and products are recognised and matched against master data.

04

Order in Salesforce

The order is created as a draft in the CRM, with all its lines and the original PDF attached, awaiting confirmation.

Benefits

What changes with Data Alchemy's Salesforce integration

Zero data entry

Your sales team no longer re-types orders: they review and confirm them, and the time goes back to customers and sales.

A person always has the final say

Orders arrive as drafts: none goes out without someone's confirmation, and when the system is unsure it does not guess, it flags the issue.

Errors explained, not discarded

Missing products listed in the order, customer not in master data, a missing field or an address that does not match: the system tells you what to fix. Once fixed, just re-upload the same PDF.

No change to how you work

Orders appear in Salesforce just like those entered by hand, only already filled in and with the PDF attached.

Everything tracked

For every document you know where it stands — delivered, partly delivered or to be fixed — with a diagnostic log for each attempt.

Test before you go live

Test mode checks customer and product recognition without creating real orders: ideal at start-up or when a new order format arrives.
