ERP integration connects the Intelligent Document Processing platform to your ERP, removing the manual hand-off of data between documents and your business system. The AI agent, installed at your premises, connects to Data Alchemy over websocket and APIs and writes into your ERP on the destination configured from a graphical interface: a database, CSV, JSON or TXT files, or APIs. Data Alchemy captures the document, extracts the relevant fields (number, date, taxable amount, VAT, order lines, item codes), checks them against ERP master data and posts them directly into accounting, inventory or the order cycle. The result is a fully automated document flow, from receipt to posting.

Native integration: what it means with Data Alchemy

Calling an integration "native" means Data Alchemy works with the interfaces your ERP already has, without changing its code. The AI agent is installed at your premises: it connects to Data Alchemy over websocket and APIs and writes into your ERP via a database, CSV, JSON or TXT files, or APIs, in both directions. Your ERP credentials stay in the agent, in your perimeter.

One component, both directions

The same agent makes your ERP's master data and orders available to Data Alchemy and posts the data extracted from documents back into it, including orders with header and lines: a single integration point, installed at your premises.

Validation against live master data

With external fields and remote validation (Business and Enterprise licences), the platform checks the extracted fields against your ERP's master data and orders before posting.

How ERP integration with AI document processing works

Data Alchemy's ERP integration software follows four steps.

    documents arrive automatically by email, through the Mail service installed at your premises (Business and Enterprise licences), or via API.

    Extraction

    a dedicated LLM per document type reads the invoice, delivery note (DDT), order or contract and extracts every field — number, date, taxable amount, VAT, order lines and item codes.

    Validation

    each field is checked in real time against your ERP master data and open orders, with 3-way matching across order, delivery note and invoice.

    Posting

    structured data is written directly into SAP, Zucchetti, TeamSystem, Microsoft Dynamics or Oracle NetSuite, with 99.8% accuracy measured with Claude, in compliance with the GDPR; with Claude Sonnet or higher, reading takes on average around 12 seconds for a one-page document and around 18 seconds for two pages. With Data Alchemy AI and the European providers, processing stays in Europe; with Claude and GPT, documents are processed by the respective providers under a DPA.

The integration does more than write into your ERP: before posting, Data Alchemy can query the ERP to verify and complete the data extracted by the AI. Both features are included in the Business and Enterprise licences.

External fields verify AI-read data against external services, for example your ERP through the AI agent or via API: the extracted value is compared with the one in your management system before moving on.

Example: delivery note and purchase order

When it reads a delivery note that quotes the purchase order reference, Data Alchemy queries the customer's ERP (through the AI agent or via API), retrieves the order contents and checks item code, quantity and the other fields line by line: the data read by the AI is consistent with the data in the ERP.

How external fields work

Remote validation

Remote validation connects a third-party source such as your ERP to validate extracted data: it checks item codes and retrieves information that is not on the document.

Example: customer code

From the company name or VAT number read on the document, remote validation queries the ERP, through the AI agent or via API, and retrieves the matching customer code, so the record enters your ERP already linked to the right master-data entry.

Enterprise licence

Order Dispatcher: draft orders in your CRM

The Enterprise licence also includes Order Dispatcher, which turns the order read by the AI into a draft order in your CRM, already filled in and with the original PDF attached: it recognises the customer and delivery location, applies commercial terms from master data and matches products by code or EAN. Today the native connector is Salesforce; the connector architecture is designed to extend to other management systems.
